Senior Contracts Assistant

Permanent, Full Time

Grantham

up to £25,000 p/a DOE

 

Our well established client is looking for an experienced Contracts Assistant to join their team based in Grantham. They are looking for a candidate with excellent computer skills and the ability to comfortably navigate their complex in-house system, previous finance/accounts experience would also be desirable.

 

Your duties will include;

- Management and maintenance of contract data

- To gather and maintain customer and contract information

- To provide reports, statistics and budget management services for Companies, Internal and external

- Lead companies in maintaining their compliance with quality standards set by commissioners / local authorities

- Collate information on behalf of our companies for CQC submissions

- Being aware of all external reporting/return requirements and completing them as requested

- Quantify and challenge information of the contract management and variation processes with internal and external stakeholders

- Create process changes to adapt to commercial changes

- Updating and maintaining all databases and finance systems

- Monitor and Maintain Database extracts, ensuring all information is up to date and to assist The Quality Company with their needs

- Manage Docuware ensuring all documentation is saved correctly

- Assist Operational colleagues with Contract Issues speaking to Commissioners

- Update invoice monitoring sheets for Sales Ledger whilst ensuring correct information to enable accurate invoicing

- Reconciliation of local authority payments against delivery of hours

- Prepare budget process

- Prepare and issue Individual Agreements and Contract notices to customers and commissioners

- Assist the Head of Contracts and Commercial in Managing a catalogue of Contracts

- Provide a level of customer service and act as a first point of contact for internal and external enquiries including face to face, telephone and written

- Provide support and training to the relevant employees regarding commercial information and contracts. Making sure that all staff are engaged and understand the implications to the business if the process is not followed

- Monitor mileage claims of individuals we support assisting Sales Ledger to invoice correctly against the relevant contract

 

The ideal candidate will;

- Have previous experience in a similar position

- Computer literate, and the ability to use their complex in house system efficiently

- Have previous experience or knowledge of finance/accounts functions

- The ability to use their own initiative to complete and prioritise tasks in an effective and timely manner

- Excellent level of customer service

- Comfortable negotiating with clients to achieve the best possible outcome
