This role is to cover maternity.

As a business admin you will assist in the provision of a broad range of administrative activities to support the Resource Coordinator, Business Services Manager, Business Administration Manager.

Accountabilities

  • To provide support to the Resource Coordinator, ensuring learner timetables are prepared each week, new staff and young people are entered onto the timetable system and effectively deployed.
  • Take a lead on inputting student data on to the datastore and live learner list
  • Working in collaboration with the Resource Coordinator and drawing on insight gathered by the Head of Behaviour & Attitudes, support the work involved in improving student attendance.
  • Support innovative deployment which takes account of persistent non attenders and assign dual learners to staff to take account of such situations
  • Collaborate with the Resource Coordinator to ensure end of year processes are followed and data is captured in advance regarding learners who are leaving.
  • Support the data analysis of undeployed sessions and impact of end of year leavers.
  • Working alongside the Resource Coordinator to support the evolution of the timetable system, via the project specification documents or development work undertaken by ICT support services.
  • To support the Business Administration Manager in providing a reception service by welcoming and greeting contractors and visitors and maintaining a welcoming, safe and clean reception area as and when required.
  • Take responsibility for the creation, uploading and filing of key documents for learner files.
  • To answer and direct telephone calls including taking and passing on messages and ensuring all voicemail messages are passed on to the relevant person
  • Undertake general administration duties such as filing and photocopying.
  • As the main and central resource, undertake relevant activities to ensure staff absences are substituted by available staff and learner absences reflect available staff for deployment.
  • Correlation of the daily ad hoc changes made on the live timetable with the cover board.
  • Working in conjunction with learning managers to coordinate staff availability and maintain great attendance of learners and effective use of all resources.
